If your organization binds large reports presentations or proposals then chances are you are either using index tabs or should consider using them. Index dividers can be bound right into your document to help organize the contents and make it easier to read and reference. However, if you are interested in creating your own indexes or having custom tabs created, you will have some decisions to make. Here are some of them. 1. What color do you want your the body of the dividers to be? Dividers are most commonly produced in white but they can be special ordered in either cream or a number of other custom colors. White will be the most cost effective choice. 2. What weight of paper do you want to use? The most common choices are 90lb index and 110lb index. Other weights are available but are usually considered custom. 3. What size of paper do you want the tabs to be made from? Standard is letter sized with a ½" tab extension from the side of the divider. However, you can also choose half letter size, legal size and even in 11" x 17" depending on your needs. 4. Do you want the binding edge to be reinforced? A clear laminate can be added to the binding edge of your index tab to prevent it from ripping out of your document. This is especially useful for documents that are frequently referenced. 5. How many indexes do you want? This question really has two parts. First, you need to decide what cut that you want (how many tabs will the edge of your document be split into). Second, you will need to determine the total number of tabs that you want in each set. If you needed an alphabetical index of tab dividers you could order a single bank of 25th cut or you could order 5 banks of 5th cut dividers. It really depends on what you are looking for. 6. What edge of the paper do you want the tabs to be on? You can choose to place the extensions on the long or the short edge of the document depending on the side of the book that you are planning on binding. 7. What printing do you want to put on the tabs? You will need to decide if you are going to need to print anything on the body of the index. You will also need to choose the text to place on each of the index tabs. Indexes can be printed on both sides or just one side. It is really up to you. 8. Do you want the tabs to be coated? The tabs can be coated with a Mylar sealant that will keep them from being damaged or bent. This sealant can be clear or can be in one of about ten transparent color choices. When you are looking and buying index dividers or printing your own using copier-tabs, these are all questions that you will need to ask yourself before you make your purchase.

139. Caring For Your School Laminator
The only regular maintenance that is usually required for school laminators is periodic cleanings of the heat rollers. Even if you are very careful to not allow the adhesive side of the laminating film to come in contact with your rollers, there will still be some adhesive deposited onto the rollers along the edge of the film. Properly aligning your film on the laminator will help to reduce these deposits but will not completely eliminate them. Cleaning these deposits off is not that difficult. However, there are a few things to keep in mind before you start cleaning. 1. You should NEVER use a sharp or pointed object to clean your machine. In fact it is unwise to use any type of sharp objects around your rollers. These rollers cost hundreds of dollars each to replace and can be easily ruined if they are cut or gouged with a sharp object 2. Hardened adhesive deposits can cause damage to the rollers. While cleaning it is best to slowly rotate the shaft at the slowest speed possible. It is also best not to allow adhesive build up to go too long without cleaning. Fresh layers will be much easier to remove than older ones. 3. Do NOT laminate glitter or metallic items. Glitter can get imbedded into the roller making it ineffective and unable to transfer heat. Also, do not attempt to run items with a great deal of texture or 3d objects through your machine such as leaves, sticks, branches, plastic, mosaics, wood, or other craft projects. That is an excellent way to ruin the machine. If you have some buildup on your laminator rolls, here is how to get it off... 1. Remove the film completely from the laminator like you were preparing to load new film. In fact since the film has to be off for cleaning you may want to consider cleaning the rollers when you go to change the film. Perhaps every two or three sets or rolls depending on your usage. 2. Preheat the laminator until the ready light comes on signaling that the laminator is hot. Remember that since you are cleaning the machine while it is hot you will need to be extremely careful not to burn your hands. 3. Rub the top and bottom rollers with a 3M Scotch-Brite green scrubbing pad (Never use metal scrubbing pads). Keep the rollers moving on the slowest possible speed and thoroughly scrub both rollers until all the adhesive residue is removed (this can take a little bit of patience and elbow grease). If your laminator does not allow you to move the shafts while the heat shield is up you may need to clean one area and then put the heat shield down before forwarding the machine to another unclean portion. 4. After the rollers are completely cleaned you can install a new set of laminating rolls onto the machine, replace the feed table and you will be ready to laminate your next set of documents. Depending on how much you use your machine and how much adhesive is being deposited onto your rollers you should probably clean your laminator once every three to six months. If by chance you accidently wrap film around the rollers or load a set of film backwards, you will need to follow these cleaning procedures before you are able laminate any other documents

141. Binding Wire Documents Using the GBC TL2900 Electric Wire Closer
The GBC TL2900 wire closer (formerly the Ibico 340WB) is a versatile production system that will enable the end user to produce attractive Wire-bound documents. Though ruggedly built, the 340WB is compact and light enough to be used on any table or desk. It has been designed for easy operation as part of the GBC product line of binding equipment. Here are some simple steps for binding documents with the GBC TL2900 wire closer … 1. Select the appropriate size wire binding element for your document by either using the chart below, or using the Wire Size Guage Label on the TL2900 as a reference 2. Adjust the knob so that the desired size shows approximately in the center of the window. TIP: This is a starting point reference. It is best to make a test bind and adust the knob for your personal preference. To make the crimp tighter, turn the knob so that the number of moves toward you in the clear window. Slight adjustments may be necessary to achieve the perfect crimp. It is acceptable for the wire size to appear anywhere within the window. 3. Load the wire element onto the support hooks. TIP: Hold the wire loosely across the trips of your fingers, with the wide hooks facing downward. Orient with the left edge just touching the Edge Guide. Allow the wire to naturally find itself on the hooks with a dropping motion as you guide the wire up and over. Once you get the feel for this motion, you will be able to easily hang the wire onto the books. 4. Thread the document contents onto the hooks, oriented so that the first faces up. Then thread the front cover face up onto the wire document. Finally thread the back cover , inside up, onto the wire element. (As an alternative you may prefer to stack the entire document as per 5, 6, 7 above, and lay the whole document on the wire hooks at one time to show ease of operation – try working with the system both ways until you are comfortable with it. 5. Bring the clamp forward over the hooks. 6. Press and HOLD the two activation buttons on either side of the closer, until the LED’s indicate, “DONE”. 7. Push the clamp back. 8. Remove the bound document from the hooks by gently pulling upward on the document until the wire is out of the hooks. Do not pull forward on the book, as you may risk breaking the hook. 9. Flip the back cover around so that the wire seam is hidden between the last page and the back cover of the document.

142. Binding Presentations and Proposals Without a Binding Machine
Do you need to take your documents, reports, presentations and proposals to the next level of professionalism? One of the easiest ways to accomplish this is to choose a binding style that reflects a professional image that you can be proud of. However, for small companies that don't do a lot of reports, the initial cost of purchasing a binding system can be prohibitive. This article is designed to present some options for organizations that are looking to bind documents without the need for a binding machine. Here are five options... 1. Proclick: Using pre-punched binding paper and binding covers it is possible to create documents with GBC Proclick. All you need to do is print your pages onto the prepunched 32 hole paper, assemble your document and finish the binding. You can use the Proclick zipper tool that came in the box with your supplies to snap the spines shut. 2. Zipbind: The process for binding documents with Zipbind is identical to the process used to bind documents with Proclick. However, Zipbind uses 19 hole prepunched paper and covers. Again, all you need to do is print your document on the punched paper, insert the spines onto the document and snap them shut. 3. Spiral Coil: Using spiral coil prepunched paper and covers it is possible to bind documents using plastic coil without any need for a binding machine. The prepunched paper for this binding style is going to have either 43 or 44 holes. All you need to do is print your document on the pre punched paper and then spin the coil through the holes onto the edge of the document. To finish the binding process you will need to use a pair of pliers to cut off the excess coil and then bend the ends of the coil over so that the coil cannot spin off the edge of the book. 4. Velobind: It is possible to bind documents using four pin reclosable binding spines using 11 hole Velobind prepunched paper and covers. With this style all you need to do is insert the pins through the holes in the book and the receiving strip. You then simply snap the excess portion of the pins into the back of the receiving strip. 5. 3-Ring Binders and Screw Posts: The final option for binding your document without the use of a binding machine is to use a 3-ring binder or screw posts. Three ring view binders allow you to insert your own printed information into the front, back and spine of the binder. This helps to give your view binders a customized look and feel. Screw posts can also be used to bind documents without the need for a binding machine. With both of these options you can either use a common 3-hole punch or you can purchase pre-punched three hole paper and covers. All five of these binding options provide a different look and feel and do not require a binding machine. For companies who are small and only need to bind a few documents, any one of these options can be an excellent choice. Really, it just comes down to the look and feel that you want for your documents and reports.

143. Binding Legal Sized Documents with Different Types of Binding Machines
Does your company do a lot of Legal Sized Binding? Or maybe you only do a few legal sized documents but you want to make sure that the binding machine that you buy can handle 14” long documents. Either way, this article is designed to help you understand the options available on the market for binding legal sized documents. Here is a quick overview… 1. Plastic Comb Binding: The most common method for binding legal sized documents is with plastic combs. We stock legal size plastic comb binding supplies and other colors can easily be ordered with a little bit of lead time. There are a few different legal sized plastic comb binding punches including the Tamerica Durabind 242 Legal Sized Plastic Comb Binding Machine, the Akiles CombMac and the Akiles line of Combo Machines that bind both wire and plastic combs. However, if you don’t have a plastic comb binding machine that is long enough to punch your legal sized documents you may still be able to bind your documents. Check out our article on binding long documents with plastic binding combs. 2. Twin Loop Wire Binding: Although many of the wire binding machines on the market are capable of handling legal sized documents the trick with twin loop wire is getting the wire binding elements in 14” lengths. Fortunately, we carry custom length wire which can be cut to almost any length including legal size. However, in order to ensure that the element matches the punching pattern on your document you will first want to punch one legal sized document and count the number of holes. You can simply order the twin loop wire so that it is cut to the exact number of holes you need. 3. Spiral Coil Binding: One of the least expensive methods of binding legal sized documents is with spiral coil. Spiral coil can be purchased in virtually any length and is available in more than 60 different colors. If you want to bind legal sized documents with spiral coil you will probably need to order 15” long spiral coil to ensure that you have enough coil on each end to easily crimp your books. Not all of the spiral coil binding machines on the market have the ability to punch 14” long books. However, the Akiles CoilMac, CoilMac ECI and CoilMac EPI have a feature that allows you to flip your books over to punch legal documents (and other documents longer than 12”). 4. Velobind: GBC Velobind Hot Knife binding systems are some of the only binding systems that are ready to bind legal sized documents out of the box. GBC manufacturers legal sized 1” thick Black Velobind strips that can used in the Velobind System One, Velobind System Two and Velobind System 3 Binding Machines. However, it is important to recognize that these strips are only available for books up to 1” thick. If you need to bind a document larger than 1” you may need to look at plastic comb binding as an option. These four options are your primary options for binding legal sized documents. Unfortunately, legal sized binding supplies are not readily available for thermal binding and Unibind binding machines. However, these four options should hopefully provide you with an option that will provide you with the look and feel that you need for your reports and presentations.

144. Binding Half Letter Size Books and Landscape Documents
Are you looking to bind half letter sized documents (8.5" x 5.5")? If you have looked around at the binding machines and binding supplies that are available on the market you have probably noticed that most of the equipment and supplies are designed for binding documents on the 11" edge. Even so, if you are looking to bind half sheet books on the 8.5" side there are a number of options available. Here are some of the things that you will need to consider if you are looking to bind half letter sized documents... 1. You will need to make sure that you have a binding machine that is capable of punching holes on the 8.5" side of a piece of paper. In order to accomplish this you will most likely need to disengage a die so that you aren't left with a half a hole on the edge of your paper. Many binding machines have disengageable dies to make this possible. However, some machines don't and if you are planning on binding half letter sized documents (or landscape documents) you will need to make sure your machine has this capability. 2. After ensuring that you have a binding machine that is capable of punching an 8.5" length you then need to find a binding spine that is 8.5" in length. Here are some of the options that are available if you are looking for 8.5" binding spines. 3. Plastic Comb Binding Spines are readily available for binding 8.5" lengths (15 rings). 4. Spiral Coils can be ordered in 9" lengths or can be cut down from standard 12" lengths. 5. Twin loop wire can be ordered for half sized books or can be cut down from standard 11" lengths using a small pair of wire cutters. 6. Hot knife Velobind strips are available in 8.5" lengths for use with the Velobind system one, Velobind system Two and Velobind System Three Binding machines. 7. GBC Proclick and GBC Zipbind Binding Supplies can be cut down to 8.5" using a sharp pair of scissors. 8. Finally, after ensuring that you have a binding machine that can punch the 8.5" length and a binding spine that is 8.5" long you will need to make sure that you have binding covers and paper that is the correct size for your project. Clear binding covers and opaque binding covers are readily available on the market for the 8.5" x 5.5" size. However, finding 8.5" x 5.5" paper can be slightly more difficult. If you have a high quality paper cutter you can cut the paper yourself. Otherwise, half size paper will have to be special ordered (it is available from Mybinding.com). Some individuals choose to print pages for their half sized books 2 up on a page and then cut them afterwards. Others choose to use pages that are already 8.5" x 5.5". Either way, binding half sized documents isn't that difficult and they tend to be ideal for training manuals, users guides, cookbooks and more.
